Purposes and legal grounds for processing:

• We use data from our customers for administrative purposes such as issuing quotes, agreements and invoicing where we use ‘software as a service’ solutions. The data housed with these parties are not used by third parties and are protected. We have processing agreements with all of these parties which can be requested and viewed at any time by sending an email to info@byhemp.nl.
• We will also keep you informed of developments within our company, our products and services via regular mail and e-mail in the form of a newsletter from which you can unsubscribe from further communications in either case.

Personal data:

• For our administrative programs we use the following personal data: company name, contact person name, address details, phone number, cell phone number, contact email address, contact job title, invoice email address, website, VAT number, chamber of commerce number, bank account number, BIC code, branch number, payment condition, company size, language.
• For our newsletter system, we use the following personal data: company name, contact name, email address, newsletter category.

Consequences of failure to provide data or deregistration:

• Failure to provide your personal information may result in you not being aware of developments of the services we provide which could potentially cause the operation of those services to fail.
• Failure to provide personal data may result in missing information regarding contractual obligations of the services we provide. We cannot be held responsible for any resulting consequences.

Retention period:

• Your data will be kept as long as we need it for the purpose of administrative operations and/or we need to keep you informed of services we provide to you. In the case of newsletters we send out, after unsubscribing from them, we only retain your entered username and email address in order to prevent possible future duplicate subscriptions. This data will be transferred to the new party upon dissolution or sale of our company.

Right to access, rectify, delete or edit personal data:

• Customer information can be changed/updated by sending an email to administratie@byhemp.nl.
• The management of subscription(s) to our newsletter(s) and the data entered therein can be managed via the links which are always present at the bottom of newsletters called ‘Unsubscribe’ and ‘Manage your subscription’ or comparative link texts which are easily recognizable/comparable with these texts.

Complaint resolution:

• If you suspect misuse of your data by us, you can report this via klacht@dodo.nl to which we will respond within 1 business day to A: sort it out B: If complaint is justified solve it immediately or offer a solution.
• In addition, if abuse is suspected, you are entitled to file a complaint with the Personal Data Authority.

The data stored there is secure and is not used for any other purpose. We have a processor agreement with these companies to ensure the same level of security and confidentiality of your data. These processor agreements can be requested from by HEMP at any time.
